  • Name the seven kinds of database user and say how each one interacts with the database.
  • Describe the work of a database administrator and of a database designer, and tell them apart.
  • Explain the link between naive users and application programmers.
  • Sort database commands into DDL, DML (DQL), DCL and TCL, and explain why autocommit is a mode, not a command.
  • Explain how a program in a host language sends SQL to the DBMS, and why SQL is declarative.

Who uses a database?

A database is not built for its own sake. People use it every day: the clerk at the bank counter, the student who checks her marks online, the programmer who builds the marks website and the specialist who keeps the whole system running. Any person who uses a database and gets some benefit from it is called a database user. Users also judge it: however elegant its design, a database that does not give its users the information they need has failed.

Users are grouped by how they interact with the database. Some only press buttons on ready-made screens, some write programs, some type their own questions to the database, and a few control the whole system. The course material names seven groups; the next screens look most closely at the four most important ones.

A university library

Think of a big university library. An architect planned its rooms and shelves before it opened. The chief librarian holds every key, decides who may borrow which books and keeps the registers safe. A technician set up the self-service catalogue computer at the entrance. Most students only type a book title into that computer and never see how the shelves are organised. A researcher walks straight into the stacks and searches in her own way, and a visitor comes once a term with a different question each time. A database has the same kinds of people around it.

Where the analogy stops working

In a library each job usually belongs to one person. In a small company one person may be the designer, the DBA and the programmer at the same time. The seven groups describe kinds of work, not always separate people.

Seven kinds of database user

Here are the seven groups from the course, with one line about each. The course only names groups 3, 6 and 7, so their short meanings come from standard database textbooks.

  1. Database administrators (DBAs) control the whole database: its design, who may use it, and its backups.
  2. Database designers plan the structure of the database before it is built.
  3. System analysts study what the organisation and its users need and write it down as requirements for the designers and programmers.
  4. Application programmers write the programs and screens that other users work with.
  5. Naive users (also called parametric users) use ready-made screens and know nothing about the DBMS. 'Parametric' means they only fill in the values a screen asks for, such as an account number.
  6. Sophisticated users know the DBMS well. They do not write programs; they type their own queries or use data-analysis tools.
  7. Casual users (also called temporary users) use the database only now and then, and need different information each time. They are often managers.

The course calls DBAs the most important kind of database user. They are sometimes known as super-users, because they can do everything in the database. A DBA can be one person or a whole team. The DBA defines the database schema (its overall design) and is in charge of controlling the different levels of the database in the organisation – from how the data is kept on the disks to what each group of users may see. You will meet these levels in the next lesson, Database systems and abstraction.

Database designers design and create the structure of the database. That structure includes the tables, the relationships between entities, the schemas, the constraints (rules the data must obey), the indexes (which help to find rows quickly) and the triggers (small programs stored in the database that run by themselves when the data changes).

They are responsible for the overall design. They decide which data needs to be stored, which relationships exist between the different entities, and what type each attribute will have – for example, whether a date of birth is kept as a date or as text.

Designers do most of their work before the database exists, with E-R diagrams (E-R modelling) and the design steps of the development life cycle. The DBA then runs and protects what they designed. In a small organisation the same person often does both jobs.

  • System analysts study how the organisation works and what its users need, and turn that into clear requirements – written descriptions of what the system must do – for the designers and programmers. They are the bridge between the people who will use the system and the technical team. Example: before a clinic gets a new system, an analyst interviews the doctors and the receptionists.
  • Sophisticated users – engineers, scientists, data analysts – know the DBMS well. They do not write programs; they type their own queries in a query language such as SQL, or use data-analysis tools. Example: Hana, a data analyst at a university, writes a query to find which courses most students fail.
  • Casual users, also called temporary users, use the database only now and then and need different information each time. They are often managers. Example: once a term the dean asks how many students registered in each department.

Database languages: the four families

Users and programs talk to the DBMS in a database language (the course calls it the database access language). Database languages do the critical work that makes a DBMS useful: reading, searching, inserting, updating and deleting the data stored in the database – and also building its structure and controlling who may use it.

DDL and DML in a few linesDDL

DDL works on the shape of the database. CREATE makes a new object, such as a table; ALTER changes it; DROP removes it together with all its rows; TRUNCATE empties a table but keeps the table itself; RENAME gives an object a new name; and COMMENT stores a short description of a table or column inside the database.

DML works on the rows inside. INSERT adds rows, UPDATE changes them, DELETE removes some of them and SELECT reads them. The other three names in the course come from Oracle's SQL: MERGE inserts or updates in one statement (it updates a row if it already exists and inserts it if not), CALL runs a small program stored in the database, and EXPLAIN PLAN shows the steps the DBMS plans to take to run a query, without running it.

You have already written CREATE, ALTER, DROP, INSERT, UPDATE, DELETE and SELECT in the Web Programming course, with code that runs: see DDL and DML and DQL in SQLite basics.

DCL and TCL in a few linesDCL

DCL controls who may do what. GRANT gives a user (or a role) a permission, for example to read one table; REVOKE takes it back. It is the DBA's tool for least privilege. SQLite has no DCL, because it has no users (SQLite basics); MySQL, SQL Server and Oracle do.

TCL controls transactions. A transaction is a group of changes that must all happen or none of them, like moving money from one account to another. COMMIT makes the changes of the transaction permanent, ROLLBACK cancels them, and SAVEPOINT marks a point inside the transaction that you can roll back to without cancelling everything. The lesson Transactions explains this in full.

What, not how: set-at-a-time DMLچی، نەک چۆن: DMLـی کۆمەڵ بە کۆمەڵ

There are two kinds of DML. A high-level (declarative) DML such as SQL says what you want, and one statement works on a whole set of rows at once: set-at-a-time. A low-level (procedural) DML gets one record per call, so the program needs a loop and must say how to move from record to record: record-at-a-time, as in the old navigational databases. It only works inside a program.

The same contrast, procedural against declarative, sits under SQL itself: see relational algebra and calculus.

No. With all privileges, one mistake or one stolen password could delete tables, read every patient's private records or create new accounts. Least privilege keeps the damage small: the account gets exactly what the work needs (here, reading and adding appointments), and nothing more. If the work changes, the DBA can grant one more right later.

  • A database user is anyone who uses a database and benefits from it. Users are grouped by how they interact with it.
  • Seven groups: DBAs, designers, system analysts, application programmers, naive (parametric) users, sophisticated users and casual (temporary) users.
  • The DBA (the super-user) defines the schema, controls the levels of the database, gives accounts, grants and revokes permissions, and looks after backup, recovery and support.
  • Designers plan the structure: tables, relationships, constraints, indexes and triggers.
  • Application programmers write the screens; naive users fill them in.
  • Four families of commands: DDL (structure), DML (rows; SELECT is often called DQL), DCL (permissions) and TCL (transactions). Autocommit is a mode, not a command.
  • Secondary users only receive the database's output. Each kind of user has its own interface: forms, query tools, APIs and drivers, or administration tools.
