The present simple passive

When we describe how a system works, the actions matter more than the people or machines that do them. So we use the present simple passive: am / is / are + past participle.

Active	Passive
The scanner reads the barcode.	The barcode is read (by the scanner).
The system updates the stock level.	The stock level is updated.
The printer prints a receipt.	A receipt is printed.
Formulas calculate the totals.	The totals are calculated by formulas.

Add by + agent only when it is new or important information: The totals are calculated by formulas.
Show the order with sequence words: First, … Then, … Next, … At the same time, … Finally, …
Modal passive: The data can be exported to Excel. Passwords must be changed every year.
Past simple passive for history: Linux was released in 1991.

Good instructions are short, numbered and in the right order. Start each step with an imperative verb. To explain why, put To + verb at the start; to explain how, use by + -ing.

Software, program, application, app. Software is uncountable (some software, a piece of software). Program and application are countable and mean much the same; app began as short for application and is now used for phone and computer programs alike. In professional writing, tool is common: 'a project-management tool'.

Free. 'Free software' can mean free of charge (freeware) or free to study, change and share (open source). Write 'free of charge' or 'open-source' when the difference matters.

SaaS. Many applications are now rented, not bought. Software as a Service (SaaS) runs in the browser for a monthly fee. Older textbooks call the companies that sell it application service providers (ASPs).

Adjective order. Two or more adjectives before a noun usually follow this order: opinion → size → age → colour → origin → material → purpose. A useful little Kurdish dictionary app; a fast new laptop, not a new fast laptop. In product descriptions, put the most important adjective closest to the noun.
