Rezan’s online week

Rezan is a second-year IT student at a university in Erbil. Like most students, he communicates online all day, but not always in the same way.

His class has a group chat on a messaging app. It is great for quick questions: “What time is the lab tomorrow?” The messages are short and informal, and people often use . However, the group has rules: no , no arguments about politics and no messages after 11 p.m.

When Rezan writes to a lecturer, he uses his university . He writes a clear , starts with “Dear Dr…”, and checks his spelling before he presses Send. If he attaches a file, he mentions it in the message.

Some lectures and most group projects happen on video calls. Rezan turns his camera on, mutes his microphone when he is not speaking and uses the chat to share links.

When he has a coding problem, he searches an first. Usually, someone has asked the same question before.

“The tools change,” Rezan says, “but the rule is always the same: think about who will read your message.”

Language focus: formal or informal?

Register is how formal your language is. An email to a lecturer or a company needs a formal style; a message to a friend can be informal. The same idea can be said in both ways.

Formal and informal phrases

What makes writing formal?

  • Full forms instead of contractions: I am, I would, cannot (formal) vs I’m, I’d, can’t (informal).
  • Indirect requests: Could you please…? / I would be grateful if you could… / Would it be possible to…? rather than Send me….
  • More formal words: receive, require, inform, apologise rather than get, need, tell, sorry.
  • No slang, emojis or chat abbreviations (LOL, u, thx). In work chat, FYI and ASAP are often fine, but not with someone you don’t know.
  • Neutral is the safe middle for most work emails: Hi Karwan, Thanks for the file. Could you also send the diagram? Best, Hana.

بڵێ: Could I…?، Would it be possible to…? یان I would like to….
Dear Dr Shilan Ahmed.

I am writing to ask whether I could submit my Networks assignment three days late. Unfortunately, I was ill last week and could not attend the lab where we tested the network. I have attached a note from my doctor.

Would it be possible to submit the assignment on Thursday instead of Monday? I have already finished most of the report.

Thank you very much for your understanding. I look forward to hearing from you.
